Terms and Conditions — AccountingDash
Version 1.25 · Effective from 29-10-2026
Status: APPROVED by BJS on 30-10-2026 (version 1.25). Written from what this product's code actually does and stores. Not legal advice; no lawyer has reviewed this text.
Built with AI: this product, including this document, was written with the help of Anthropic's Claude under human direction and review. Customer data reaches an AI in one place only: every PDF you upload under Documents or have mailed in, and every mailed-in invoice without a PDF, is read by Anthropic's Claude (Privacy Policy §3-4). Bank statements are read on our own server, by no AI.

2. Scope
These Terms govern the use of AccountingDash at accountingdash.eu and its related applications. By creating an account, making a purchase, or using the service, you agree to these Terms. If you do not agree, do not use the service.
3. The service — what AccountingDash is
AccountingDash is the bookkeeping module of the BusinessDash suite, at accountingdash.eu. It signs in members of organisations that have AccountingDash and keeps each organisation's company records — the companies whose books it keeps (names, registration and VAT numbers, addresses, bank accounts, invoice defaults) and to whom a periodic statement should go — and the transactions you enter for those companies (date, counterparty, category, amount, VAT), converted at the Czech National Bank's daily rate, with a list of entries waiting for a decision, and the customers you invoice and a catalogue of what you sell (which you can download and upload again as a spreadsheet file). It records the invoices and credit notes your companies issue - numbered, with the customer's and your company's details frozen on each document; each can be downloaded as a PDF (with a QR payment code when the company has a bank account set), and so can a company's financial statement for a period - made when you download it, never stored. A recurring invoice issues a draft to a saved customer every month, quarter or year on its day; nothing is sent or booked until you check it - unless you set that schedule to send automatically: then each invoice it issues is booked and its PDF emailed to the customer, and a reply reaches your company's contact address. Any other issued invoice an owner or administrator can email to its customer the same way from the invoice's page, or download and send themselves. We email at most 20 invoices per organisation in any 24 hours; above that an invoice is not emailed - a schedule's waits as a draft - and can be sent later or by hand. It keeps a log of the VAT returns, control statements and OSS returns you have filed and lists every entry in a filed period that was changed afterwards; it shows the foreign VAT you paid and what of it can be reclaimed from another EU state, and by when; once a period closes it emails your accountant the statement, if you have set that up, and their reply reaches your company's contact address; and it checks your customers' EU VAT numbers weekly, and your own companies' daily, with the European Commission's VIES service and marks a change. It also shows each company at a glance - the year's figures, month by month, where the money went, the cash flow ahead projected from the entries you marked recurring, and the VAT position over time - and your suppliers with the costs that renew (a next date there is an expectation drawn from the documents, never a contract date); entries can be listed in one currency, entries with the same document number and amount are flagged as possible duplicates, and entries saved without an exchange rate can be priced again once the Czech National Bank answers. You can also upload a PDF - an invoice, a receipt, a payout or bank statement, a credit note: it is stored encrypted, and Claude, an AI model of Anthropic, reads every one; what it read becomes an entry in the list waiting for a decision, and nothing counts until an owner or administrator confirms it. Suppliers can also mail documents in: an owner or administrator creates the organisation's own inbox address (t-…@inbox.accountingdash.eu) and lists the senders allowed to use it - an exact address or a whole domain; mail from anyone else is not taken in. Each PDF attached to an allowed mail is read and filed exactly like an upload, and counts towards a trial's documents like one; a mail without a PDF is itself read as the document and stored, encrypted. Mail that arrives while the organisation has no AccountingDash plan, after its trial has ended or before it has a company waits up to 60 days and is then refused. If you connect your own Mollie account to a company - with an organisation access token you create in Mollie, which we check with Mollie before saving and store encrypted - each Mollie payout is booked once a day from Mollie's own records: the sales at gross as money in and Mollie's fees as money out, both waiting in the list of entries to review until you confirm them; disconnecting removes the token and keeps what was booked. Upload your bank's own PDF statement and each movement on it is stored for the company whose account it is: it is read on our server from the statement's layout - no AI reads it and it goes to no one - and only when every movement adds up exactly to the totals the statement prints; otherwise nothing is imported. The PDF itself is not kept; the counter-account numbers are stored encrypted. Money in whose variable symbol and amount match an invoice you sent marks that invoice paid on the day the bank booked it; nothing else is matched by guessing. Today the service reads Raiffeisenbank statements in Czech. An owner or administrator can also set a rule for a supplier or customer - always this category, this company, this VAT rate or this currency, or never a subscription; it is applied each time one of their documents is read, and a rule that changes the VAT rate or the currency leaves that entry waiting for a decision. Each feature is added to these Terms and to the Privacy Policy in the release that brings it.
(a) What it does. You sign in through BusinessDash (businessdash.eu, under its own Terms): you are sent there, prove who you are with your passkey, and come back. AccountingDash then keeps its own sign-in for your browser and checks with BusinessDash, at intervals, that the sign-in is still valid and that your organisation still has AccountingDash. If BusinessDash cannot be reached, the last answer holds for 24 hours; after that nobody is let in until it answers again. What you may do here is decided by AccountingDash: an organisation's owners and administrators add and change its companies, customers, catalogue and settings; its other members can view them. Bank account numbers, your accountant's address and your customers' email addresses are stored encrypted.
(b) Free trial / (c) Paid products. A new organisation can try AccountingDash free for 14 days and up to 30 uploaded documents in total, without giving any payment details. When either runs out, uploading documents stops until a plan is paid; everything already in AccountingDash stays available and keeps working. AccountingDash is a paid module, sold as prepaid plans on accountingdash.eu and paid through Mollie (§4): the plan, its price, VAT status, duration and renewal are shown to you there before you pay. This application has no checkout of its own; your organisation's access comes with its plan.
(d) Refunds. A prepaid period that has started is not refunded; a plan simply ends with its paid period (§5).
(e) Rules. What is recorded here for an organisation belongs to that organisation. When a person is erased from the suite, their own record here is deleted; entries in the organisation's audit trail keep an anonymous id that no longer points to anyone.
Holding view, your data, closing your account, deleting the organisation. For a holding, AccountingDash shows each company of the group and the group together in one currency, each amount at the Czech National Bank rate of its own document date; a line between two companies of the group — recognised only by the counterparty's VAT or registration number on the document — is shown as eliminated from the group's totals, never deleted. Each company's own figures, and its VAT, stay as they are. An owner can download all of the organisation's data here at any time as one file (spreadsheet files and a JSON file); an administrator can too, once an owner has approved the request — once, within 24 hours of the approval (a request nobody decides lapses after 7 days). BusinessDash is asked first whether the organisation still has AccountingDash, each request, decision and download is recorded in the organisation's audit trail, and we keep no copy. You can close your account from inside AccountingDash: you confirm on BusinessDash, and your own record here is deleted within the hour; the organisation's books — including invoices already issued, which the law requires the organisation to keep — stay with the organisation. When an owner deletes the organisation on BusinessDash, AccountingDash deletes ALL of its data here once the 30 days are over — companies, transactions, the invoices and credit notes it issued, schedules, VAT records, customers and catalogue — and we keep no copy. Keeping its tax and accounting records for the period the law sets is the organisation's own duty: download the data first. The audit trail stays - who did what and when - without the content of its entries.
4. Prices and payment
Prices are shown at the point of purchase in the displayed currency. Payment is processed by Mollie; we do not store card numbers. The Operator is not VAT-registered; prices are final unless stated otherwise. Pricing changes never affect already-paid periods and are announced in an update to these Terms (see §9).
5. Digital content and your EU withdrawal right
For one-off digital content delivered immediately (e.g. passes, unlocks): by purchasing you expressly consent to immediate delivery and acknowledge that you thereby lose the 14-day right of withdrawal (§ 1837(l) of the Czech Civil Code / Art. 16(m) Directive 2011/83/EU). For subscriptions: you may cancel any time with effect from the end of the paid period.
6. Acceptable use
You must not misuse the service: no unlawful content, no attempts to break, overload, scrape or resell the service, no circumvention of access or payment controls. We may suspend accounts that materially breach these Terms; where feasible we warn first.
7. Liability
The service is provided with reasonable skill and care. To the extent permitted by law, we are not liable for indirect damages or for interruptions outside our control; our total liability is limited to the amount you paid for the service in the 12 months before the event. Nothing in these Terms limits liability that cannot be limited under Czech law (incl. towards consumers, § 2898 Civil Code).
8. Personal data
Processing of personal data is described in the separate Privacy Policy at https://accountingdash.eu/privacy. Summary: we collect the minimum needed (portfolio rule: minimise → hash → encrypt), we do not sell data, and you have all GDPR rights.
9. Changes to these Terms
We may update these Terms when the service, pricing or law changes. The current version, its number and effective date are always at https://accountingdash.eu/terms; material changes to a running subscription are notified in advance and give you the right to cancel before they take effect.
10. Governing law, disputes, ADR
Czech law governs. Courts of the Czech Republic have jurisdiction, without prejudice to mandatory consumer protections of your country of residence (Art. 6 Rome I). Consumers may use out-of-court dispute resolution via the Czech Trade Inspection Authority (ČOI), https://adr.coi.cz, or the EU ODR platform https://ec.europa.eu/consumers/odr.
